This page explains what biocultureretreats.com collects, why, where it's kept and who can see it. If you have a question, or want to see, correct or delete your information, email admin@biocultureretreats.com.
What we collect
- When you apply: your first and last name, email, phone number and location, and your answers to the application questions. Guests are asked things like their Instagram handle, how they heard about Bioculture, their background, and the retreat and room they're interested in. Brand and creator applications ask things such as the brand, website or online presence and the retreat dates of interest.
- When you book a call: the time you choose, your time zone, and any later change or cancellation.
- When you join the newsletter: your email address, that you agreed to receive it, and the page you signed up from.
- When you browse: our own simple site analytics. We record the pages you view, how long a page is open, how far you scroll, the links and buttons you click, the site that sent you, campaign tags in the link, whether you're on a phone or a computer, and whether you opened the site inside the Instagram or Facebook app. This isn't recorded on the application, booking or admin pages.
- To stop spam: when you apply or join the newsletter, we use a scrambled (hashed) version of your IP address to limit repeated submissions. Our database doesn't store the address itself.
Why we use it
- To read your application and get in touch with you about it.
- To schedule, move or cancel your call, and to send you its confirmation, reminder and change emails.
- To send the newsletter you asked for.
- To see which pages are useful and improve the site.
We don't use Google Analytics, the Meta Pixel or other advertising trackers on this site.
Where it's kept
- Applications, bookings, newsletter sign-ups and site analytics are stored in our database, hosted by Supabase in the United States.
- A copy of each email the site sends is kept with the application it belongs to.
- The site itself runs on Vercel, which also stores the site's images and settings.
Who can see it
- The Bioculture team, in a password-protected admin area and in the emails the site sends the team when you apply or book. The team can export applications to a spreadsheet.
- Google, when you book a call. We create a Google Calendar event with a Google Meet link, and the invitation goes to you and the Bioculture team. The event description includes your name, application type, phone number, location and short versions of your answers, and you can see it too.
- The services that run the site for us: Supabase (database), Vercel (hosting) and Resend (sending email).
- Ventari, the studio that builds and looks after this site for Bioculture, which can access these systems to keep them working.
How long we keep it
- Applications, bookings, sent emails, newsletter sign-ups and analytics are kept until they're deleted. Nothing deletes them automatically today. To have yours deleted, email admin@biocultureretreats.com.
- The link that lets you book after applying works for 24 hours. Your private change-or-cancel link stops working 30 days after your call.
Cookies and browser storage
- bioculture_visitor: a random ID for site analytics, kept in a cookie for one year and in your browser's local storage.
- Your browser also keeps a random ID for each tab (for analytics) and your scroll position on each page (so Back returns you to the same spot).
- On the Vital Living Library, a cookie remembers that you entered the access code, for 90 days.
- The Bioculture team's browsers also get a sign-in cookie for the admin area and a marker that keeps their own visits out of the analytics.
Other sites
Links to Instagram, YouTube, Canva ticket pages and other sites follow those sites' own policies. On the Vital Living Library and Raw Primal Vitality pages, video thumbnails load from YouTube, and a video plays from youtube-nocookie.com after you press play.
Our earlier application form at apply.biocultureretreats.com is also run for Bioculture. For questions about information sent there, email admin@biocultureretreats.com.
